Customers are benefitted in being kept informed about important information affecting them relating to their service provision, as well as marketing and offers. Without processing this data, customers cannot be contacted, which may mean they experience loss of updates or further service at the end of a term without awareness or ability to rebook spaces, as well as logistical issues for the continued running of the business and keeping customers informed. Processing of the data in this way will help to achieve these purposes and is proportionate to that purpose in providing minimal harm and in providing unsubscribe opt outs. The same purpose cannot be achieved only through verbal or hard copy communication due to absences, the volume of customers, or inability to communicate booking passwords, deadline reminders or unexpected cancellations. In processing data using the Legitimate Interest basis, only the information of customers who have made a purchase are processed and it is communicated via the registration form that the information will be used for that purpose. The privacy policy is also linked for viewing at the point of entering their data. Payments are processed securely and externally via Stripe. Safeguards for data storage are in place to protect against any potential impact.

- Registration data and order confirmations will be retained for six years after last attendance in order to be reinstated in the case of returning to class during that period and for record keeping and insurance purposes. Data preferences can be updated or removed at any time via a new registration form, on request via email or using the unsubscribe option in emails. After this period, data will be deleted. Confirmation of the use of images or videos in marketing materials will be retained for this period in order to demonstrate agreement to their use in ongoing marketing materials.
- Confirmation of the use of images or videos for use on the website will be retained in order to demonstrate initial agreement to their use given the ongoing long term basis of a website design.
- Mailchimp securely sends emails and stores email addresses under password protection accessible only by Ellie Wagg. Email addresses will be retained until consent is withdrawn or deleted as part of cleaning up email lists of non-engaged customers. You can unsubscribe at any time via the link included in the email.
- A hardcopy register is kept to record names for fire safety purposes and to record attendees during classes. These are destroyed these within one month of a term ending.
